Privacy policy

How Setebaid collects, uses and protects your information when you ask about camp, volunteer or give, and how to ask us to delete it. We never sell your data.

Last updated: October 2026

The short version

  • We collect only what you type into our forms, plus basic visit data that does not name you.
  • We use it to answer you, run camp, and see which events help families find us.
  • We treat every form entry as private health information, because an entry can show that a child likely has diabetes.
  • We never sell or rent your information. We use no advertising trackers on our forms or event pages.
  • Registration and donations happen in Camp Brain, a secure service that holds that information for Setebaid.
  • You can ask for a copy of your information, or ask us to correct or delete it. Email info@setebaidservices.org or call (570) 524-9090.

This policy explains what information Setebaid Services, Inc. collects through setebaidservices.org, why we collect it, who can see it, how long we keep it, and what choices you have. It covers this website and its forms. It also covers the registration and donation information that Camp Brain holds for us.

Who we are

Setebaid Services, Inc. is a Pennsylvania nonprofit, tax-exempt under section 501(c)(3) of the Internal Revenue Code. We run Harrisburg Diabetic Youth Camp (HDYC), Camp Setebaid and our other programs for kids and teens with diabetes and their families. In this policy, “Setebaid”, “we” and “us” mean Setebaid Services, Inc.

Mailing address: P.O. Box 196, Winfield, PA 17889-0196. Office: 1157 Westbranch Highway, Winfield, PA 17889. Phone: (570) 524-9090. Email: info@setebaidservices.org.

What we collect, form by form

We collect only what you give us, and a small amount of visit data. Each form asks only for what we need to answer you.

  • “Ask about camp” form (on the Ask about camp page and our event pages): your name, phone number and email, your child’s age, and, if you choose, the best time to call you and the topics you want to talk about, for example “Talk with the camp director”. The form asks for no medical details. With your request we also record the date and time, the page you sent it from, and the card or link that brought you to the site.
  • Volunteer and staff interest form: your name, email and phone number, the roles you are interested in, your experience, and whether you worked at camp before. The form is for adults aged 18 or older.
  • Memorial and honor gift form: your name and contact details, the name of the person you remember or honor, and the name and address of the person who gets the card. We use these details only to send the card and to thank you. The card does not show the amount of your gift.
  • Event pages behind our QR codes and cards: when you open one of our event pages (their addresses start with setebaidservices.org/go/), we record which card, event or partner link brought you to the site. This record does not include your name. Your browser keeps it only until you close the tab. If you ask about camp in that tab, your request shows it too.
  • Visit data: like most websites, we record basic data about visits: the pages you open, the site that sent you, your device and browser type, and your general area (city or region). Vercel Web Analytics collects this data for us, without cookies. It also counts taps on our Call and Email buttons and sent requests, with the name of the card or page that brought you. It never receives your form answers: not your name, phone number, email, your child’s age or your topics.

Health information gets extra care

When you ask about camp, your entry shows that your child likely has diabetes. So we treat every form entry as private health information, even when it says nothing about health.

  • Our website forms do not ask for medical details.
  • We use no advertising trackers or advertising pixels on any page with a form, or on our event pages.
  • We never send your form answers to our analytics tool.
  • Only Setebaid staff who need your entry to answer you can see it.

Children’s privacy

This website is for parents, guardians and other adults. Children should not fill in our forms. When a parent asks about camp, the parent gives us the child’s age. We do not knowingly collect information directly from children under 13. If you think a child has sent us information, contact us and we will delete it.

How we use your information

  • To call or email you back and answer your questions about camp.
  • To plan camp and help your family through registration.
  • To review volunteer and staff applications.
  • To send memorial and honor cards, and to thank donors.
  • To see which events, cards and partners help families find camp, so we spend our time and our donors’ money where it helps most.
  • To keep this website working, secure and easy to use.

We do not use your information for any other purpose unless we ask you first, or the law requires it.

Calls, emails and text messages

After you ask about camp, a member of our team calls or emails you, usually within two business days. After that, we may send you up to four short emails about camp over the next few weeks. We do not add you to any other mailing list unless you ask.

To stop calls or emails at any time, reply “stop” to any of our emails, email info@setebaidservices.org, or call (570) 524-9090. We stop within 10 business days.

We do not send text messages today. If we start, we will ask for your permission first, and you can reply STOP to any text.

Who can see your information

Setebaid staff and volunteers who need your information for their work can see it. So can the service providers that run our website, forms and email for us. These providers may use your information only to provide their service to Setebaid:

  • Vercel, which hosts this website and counts visits with Vercel Web Analytics.
  • Sanity, the content system behind this website. Sanity holds our pages, not your form entries.
  • Formspark, which receives each “Ask about camp” request, emails it to our office and keeps a copy.
  • Trigger.dev, which carries each request to our database. The website encrypts the request first, so Trigger.dev receives it only in encrypted form and cannot read it.
  • Neon, the database where we keep “Ask about camp” requests and our daily visit counts.
  • Our email service, which delivers form entries to the office and sends our emails.
  • Camp Brain, for registration and donations (see the next section).

We never sell or rent your information, and we do not share it with advertisers. We share it with anyone else only when the law requires it, or when we must protect the safety of a camper or another person.

Registration and donations in Camp Brain

When you click Register or Donate, you leave this website and go to Camp Brain (setebaid.campbrainregistration.com). Camp Brain is the secure registration and donation service that Setebaid uses.

In Camp Brain you give us what we need to care for your child at camp: health history, medicines, insulin and devices, emergency contacts, and payment details. Camp Brain holds this information for Setebaid. We use it only to run camp and to keep your child safe. Only our office staff and medical staff who need your child’s health information can see it.

Camp Brain and its payment provider process your payment. Setebaid does not see or keep your full card number.

Camp Brain’s own privacy statement explains how Camp Brain itself handles information: Camp Brain privacy statement.

Other services we link to

Some of our events and camp services use other companies. When you use them, you give your information to that company and to Setebaid as the organizer. Each company’s own privacy policy applies:

Our Terms of use explain how we handle links to other websites.

Photos of campers

Camp photos help other families see what camp is like, and they help donors see what their gifts do. This is how we use them:

  • We ask parents for photo permission when they register in Camp Brain. You can say no, and your child can still come to camp.
  • We use camp photos on this website, in printed materials and on our social media pages.
  • We never put a camper’s full name or any health details next to a public photo.
  • The parents’ photo gallery during camp is private. Only parents with a gallery login can see it. The Before camp page explains how it works.
  • To have a photo of your child removed from our website or social media, email info@setebaidservices.org. We remove it from our website within 10 business days. We cannot remove copies that other people have already shared.

Cookies and privacy signals

This website uses a small number of cookies and similar tools. Our Cookie policy lists them and explains how to turn them off.

If your browser sends a Global Privacy Control signal, we treat it as a request not to sell or share your information. We already do not sell or share it for advertising. Because we use no advertising tracking, the site works the same with or without a “Do Not Track” signal.

How long we keep your information

How long we keep your information
InformationHow long we keep it
“Ask about camp” entries3 years after we receive the request. Then our systems delete it from our database and from Formspark.
Volunteer and staff interest forms3 years after the last summer you applied or worked at camp
Memorial and honor gift details7 years, for our financial records
Visit data in Vercel Web AnalyticsUp to 24 months, as our Vercel plan allows
Daily visit counts in our databaseAs long as they help us compare seasons. They are counts only and hold nothing that identifies you.
Registration and donation records in Camp BrainAs long as the law and our insurance require

When that time ends, we delete the information or remove anything that can identify you.

How we protect your information

  • Every page of this website uses a secure connection (HTTPS).
  • Before a request goes to Trigger.dev, the website encrypts it. Trigger.dev’s records hold only the encrypted request.
  • Only staff who need your information can see it, and they must sign in to see it.
  • We collect and keep only the information we need.

No website or online service is completely secure. If we learn of a breach that affects your information, we will tell you as the law requires.

Your choices and rights

You can ask us at any time to:

  • send you a copy of the information we hold about you
  • correct information that is wrong
  • delete your information
  • stop calling or emailing you.

To ask, email info@setebaidservices.org or call (570) 524-9090. Tell us which form you used and the email or phone number you gave. We may ask a question to check that the request comes from you. We answer within 30 days. The Setebaid office handles privacy requests.

Ask about your data

Some states give their residents more privacy rights, for example for consumer health data. We honor those rights where they apply.

Note for Setebaid’s lawyer: we hand out QR-code cards at events in New York, so some families who ask about camp live there. Please check whether New York’s consumer health data rules apply to our “Ask about camp” entries, and what this policy must say if they do. Remove this note before the page is published.

Sometimes the law requires us to keep a record, such as a donation receipt. If this applies to your request, we will tell you.

Changes to this policy

When we change this policy, we post the new version on this page and change the “Last updated” date at the top. If a change affects how we use information you already gave us, we will email you before the change starts.
